SETI Institute is a non-profit private, scientific research institution located in California’s Silicon Valley. As a result of recent organizational growth, we are expanding our HR team. We are seeking a motivated, organized, flexible and career oriented Human Resources Assistant to join our team and to assist us in the day-to-day adSEministration of various HR/recruiting tasks and projects.
The primary responsibility of this position will be to support the entire recruitment process including assisting with job postings and sourcing candidates, scheduling interviews and coordinating with candidates and hiring managers, as well as managing candidate information, on boarding new hires, and ensuring compliance with HR policies and employment laws. Under the supervision of the Director, the team member will utilize their strong organizational and time-management skills to ensure the smooth and efficient operation of the HR department.
This role requires excellent communication and technical skills, as well as the ability to perform with a high level of professionalism. Proficiency in Microsoft Office Suite will be required to maintain accurate online employee records, assist with updating monthly headcount reports, and perform other HR administrative tasks, including scheduling meetings and maintaining calendars. Preferred qualifications, such as experience in the nonprofit field and knowledge of HR laws and compliance, will be a great asset. Strong work ethics, a positive “can do” attitude, a desire to learn and grow, and a willingness to adapt, improve, and stay current with industry trends and technology are essential for success in this role.
Qualifications:
- Bachelor’s degree and/or HR certification is highly desirable. 2-3 years of solid human resources experience is required.
- Knowledge of HR laws and regulations will be a great asset.
- Proficiency with or the ability to quickly learn the organization’s HRIS platforms is a plus.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) is required.
- Must be self-motivated and possess a sense of ownership and urgency.
- Outstanding problem-solving skills and independent judgment are required to plan, prioritize and organize a diversified workload.
- Proactive approach, willingness to take directions, and the ability to provide creative solutions are essential.
- Strong organizational skills, attention to detail, written and verbal communication skills, and a good understanding of labor laws, company policies and HR compliance are required.
- Must be punctual, prompt and reliable with focused attention to time management.
- Demonstrated priority-setting skills.
- Ability to multitask, shift focus rapidly when priorities change and perform independently with minimal supervision.
- Must be able to maintain confidentiality and manage sensitive information with discretion.
- Ability to build positive working relationships to foster trust, collaboration, cooperation, and a positive climate are crucial in this role to maintain a cohesive and inclusive culture.
Responsibilities:
- Provide Administrative support to Director of HR/Recruitment and Talent Development.
- Support recruitment efforts, including posting job openings on job boards, application tracking and scheduling interviews.
- Assist with the Postdoctoral Fellowship and Affiliates program recruitment, selection and onboarding.
- Coordinate recruiting events including travel arrangements, planning itineraries and reconciling trip expense reports.
- Maintain accurate employee records, including personal information and employment history.
- Plan and coordinate annual Employee Recognition Award Program, quarterly All-Hands meetings and employee retreats.
- Schedule exit interviews for departing employees.
- Run occasional reports from HRIS and assist with updating the HR Portal.
- Coordinate visa/Laor Certification Application process (LCA) and preparation of immigration documentation.
- Collaborate with the Institute Administrative Team on various projects as needed.
- Occasional travel may be required.
